Courses, intakes, and students asking before they enrol
She asked about the evening course. We never got back to her.
Felesh for a training institute: each enquiry has a call-back date
This is how enquiries run now. Three places, no board.
And before the intake closes: who never got a call?
This is how we set up a training institute.
Five pieces, in this order.
- 1 Day 1 · The board
We open a board for enquiries.
Three lanes in your own words: New, Called back, Enrolled. Rename them whenever you like.
- 2 Days 2–3 · Your documents
Your documents answer the course questions.
Upload the course list, fees and schedules, and connect the website chat (Instagram too if you use it). A student asks, and the answer comes from those files. When they say nothing, the chat is handed to a person with the reason.
- 3 Days 4–5 · Call-backs
A call-back is a task with a name.
Invite the person who calls back; you send the invitation from the panel. Tell Felesh about each enquiry in one sentence. It drafts the card for your yes and adds the call-back as a task, and you set its reminder time in the panel. A person calls.
- 4 Day 6 · Intakes
One board for each intake.
Autumn intake gets its own board, and so does every other intake. Each has its own lanes, so you see who is in.
- 5 Day 7 · Friday
Friday: who never got a call.
You build the brief once. New enquiries, called back, enrolled, and a line on who has not been called back. You can build one more routine, once: an overdue call-back sends you an in-app notice.

Which channels can students use?
The website chat, Instagram, WhatsApp and Telegram. Everything lands in one inbox.
What does the assistant answer?
Only what the documents you uploaded say, such as courses, fees and schedules. When they say nothing, it hands the chat to a person with the reason and tells the student it will pass this to the team.
Can we track several intakes?
Yes. Open one board per intake, such as Autumn and Spring.
Hand it the work. Keep the decisions.
